Instructors of Record, Grading Proxies, and Teaching Assistants:

Final grade rosters have been created, and you may now enter final grades in SIS. Final grades are due within 48 hours of the final exam, and no later 11a.m. May 12, 2012. Below are quick instructions on how to access SIS and enter final grades as well as a list of contact information should you have questions. (Note that some sessions, programs, departments, or schools may have an earlier or later deadline depending on various factors.)

--------------------------------------------------------------------------------

Steps for Accessing SIS and Entering Grades

Access SIS at http://www.case.edu/sis.

Sign in with your Case Network ID and password (the same ID and password you would use to access most secured university web sites).

From the Faculty Center scroll down to the My Teaching Schedule grid and select the Grade Roster Icon directly to the left of the section you wish to grade.

Enter grades for each student in the Roster Grade drop down box.

When grades have been entered, set Approval Status drop down to "Approved" (Proxies choose "Ready for Review"). (Selecting Approval Status of "Approved" automatically saves grades so that a secondary step of clicking the "Save" button is not required.)

Once grades are approved and saved, they will be posted to student records within a maximum of 24 hours. Students and advisors will be able to view final grades in SIS by visiting the Student Center and clicking on Grades in the Academic drop down box then selecting the Spring 2012 term.

--------------------------------------------------------------------------------

You Asked. We Listened.

The ability to release advising holds has been added to "include photos in list" advisee roster view on the "My Advisees page." The link can be located underneath the student's name when viewing advisee lists that include photos.

--------------------------------------------------------------------------------

Helpful SIS Tips

Grades may be entered by either mouse or keyboard. To enter grades by mouse, click on the grade drop down box and then click on the appropriate grade. To enter grades by keyboard, navigate to the first student's grade drop down box, enter a grade using your keyboard, and tab three times to get to the next student's grade drop down box. (Mac users tab once.)

On the Grade Roster, you have the ability to select certain students and enter a grade to be added to those selected students. If all students are to receive the same grade (e.g., P), you can click the "Select All" link at the bottom of the page, choose the grade to be added from the drop down box and click the "add this grade to selected students" button.

Grade Rosters may be easily downloaded to Excel by clicking the download link at the bottom of your grade roster. Since individual browser settings may vary, if this does not work you may need to try a few things like holding down the control key while clicking on the download link or temporarily turning off pop-up blockers.

Class Rosters and Grade Rosters have an email address column with links to mail directly to your students' email addresses. This will also be useful when rosters are downloaded to Excel as you will have the email addresses for your class to create a mailing list outside of SIS.

You may upload grades directly from Blackboard to SIS (see Blackboard for instructions).

Midterm grades for undergraduate courses are now permanently available for advisors and students to view via the Grades page. These grades are available back to Fall 2008.

SIS times out after 60 minutes, so if you are interrupted in the middle of entering grades, please click Save so that you do not lose any work completed.

For a more complete listing of SIS updates, visit our new SIS and Services News page, accessible from the bottom of the registrar's home page at http://www.case.edu/registrar.

Schedule of Classes User:

The data for the Spring 2013 term has been rolled forward based on Spring 2012 offerings. The deadline for having Spring 2013 class information updated and for notifying the appropriate individual or office is September 14, 2012.

Upon completion of your review and edits, please notify the appropriate individual as follows:

College of Arts & Sciences Departments - Cynthia Stilwell, cynthia.stilwell@case.edu
All other schools/departments - University Registrar's Office, courses@case.edu

--------------------------------------------------------------------------------

A Note About In-semester Exams:
If a course holds exams during the semester at times separate from the regular class meeting times, you are encouraged to schedule these exams as additional meeting patterns. If students try to register for another course conflicting with any of the exam times, SIS will alert them to the time conflict and require that they seek permission to enroll in both courses. Please click here for an example and contact courses@case.edu with questions about scheduling in-semester exams.

--------------------------------------------------------------------------------

A Note About Graduate Teaching Assistants (TAs):
Please be aware that any request to have a student added into SIS as a TA will require verification of the kind of course the TA is teaching.

If a graduate or professional student is to teach an undergraduate course, the TA has to have taken or be currently enrolled in UNIV 400 (A, B or C). Students without registration in UNIV 400 (A, B or C) will not be added as a TA until this requirement has been met.

If a Ph.D. student is to teach a graduate Master's level course, this is permitted. If a Ph.D. student is to teach a Ph.D. level course, he/she will need approval from the School of Graduate Studies. Some individual departments such as engineering have special courses in their area in which students have to be registered to be recognized as a TA such as 400T, 500T and 600T.

If a professional student is to teach a professional course, he/she must have approval from the school's Dean's office.

If a student is to be a primary instructor of a course, a letter from the Dean's office approving the TA is required.

For questions please contact registrar@case.edu.

--------------------------------------------------------------------------------

A Note About Enrollment Capacity:
As we continue to learn more on how best to use SIS, we hope also to improve our capabilities to handle room scheduling, which is a critical component of both the faculty and student experience. So that we can best match rooms to enrollment requirements, any class sections that are marked for unlimited enrollment capacity (999) will be changed to match the capacity of the room requested. If a specific room is not requested, then our office will look at prior enrollment for the course and match it with available rooms and room capacity.

Departments will still be able to manage enrollment limits by using the "Enrollment Control" tab within Maintain Schedule of Classes. By actively setting the enrollment capacity we are better able to ensure that an appropriate room is available based on expected enrollments.

--------------------------------------------------------------------------------

A Note About Room Requests:
All courses that require a room to be scheduled by the University Registrar's Office must either have a requested room listed or have TBS TBS listed in Facility ID. TBA listed in Facility ID indicates that the department will be responsible for scheduling the room without assistance from the University Registrar's Office.

--------------------------------------------------------------------------------

A Note About Changing the Session of Combined Sections:
If a situation should arise where it is necessary to change the session in which a class is scheduled (e.g. the regular session to the dynamically dated session) and this class is already part of a combined section, please follow these instructions to make the change:

Go to the Identify Combined Sections screen for the cross-listed course. Delete all sections from cross-listing. Save.
Go to the Combined Sections table for that session and term. Delete the row of the cross-listing from the table. Save.
Go to the Maintain Schedule of Classes search screen. Search for the classes that are being moved to a different session. Change each section of the cross-listed course.
Return to the Combined Sections table search screen. Search for the session and term in which the cross-listed course should be placed.
Follow the Combine Sections of Cross-listed Courses guide to combine the sections in the new session.

These steps are also available in the SOC User Guide.

Instructors of Record, Grading Proxies and Teaching Assistants:

Final grade rosters have been created and you may now enter final grades in the Student Information System (SIS). Final grade rosters are generated only for classes with enrollments. Final grades are due within 48 hours of the final exam, and no later than 12pm July 29, 2010.

Be sure that the Grade Roster Type is "Final Grade", and enter grades for each student in the Roster Grade drop down box.

When grades have been entered, set Approval Status drop down to "Approved" (Proxies choose "Ready for Review".) (Selecting Approval Status of "Approved" automatically saves grades so that a secondary step of clicking the "Save" button is not required.)

Once grades are approved and saved, they will be posted to student records within a maximum of 24 hours. Students and advisors will be able to view final grades in SIS by visiting the Student Center and clicking on Grades in the Academic drop down box then selecting the Summer 2010 term.

Grade Rosters may be easily downloaded to Excel by clicking the "Download" link at the bottom of the page. Since individual browser settings may vary, you may need to temporarily turning off pop-up blockers.

SIS times out after 60 minutes, so if you are interrupted in the middle of entering grades, please click save so that you do not lose any work.

--------------------------------------------------------------------------------

You Asked. We Listened.
We receive helpful feedback from faculty regarding SIS. As a result of this feedback, we have made the following modifications to SIS:

Class Rosters and Grade Rosters now have an email address column with links to mail directly to your students' email addresses. This will also be useful when rosters are downloaded to Excel as you will have the email addresses for your class to create a mailing list outside of SIS.

You may now upload grades directly from Blackboard to SIS (see Blackboard for instructions).

For a more complete listing of SIS updates, visit our SIS News page, accessible from the bottom of the registrar's home page at http://www.cwru.edu/registrar.
