Two Reports Replaced

The "Fundraiser Proposal" and "Fundraiser Prospect" reports have been removed from Wizard. They have been replaced by the "Fundraiser Summary" report which combines the features of both reports.

Contact Report Distribution Question

There was a question at the last Wizard Council meeting about how the Contact Report distribution function worked within Wizard.

This is what the vendor, BSR, writes:

"A Contact Report Distribution list is the list of entities to whom the Contact Report should be distributed. This means that these entities, if they are also Advance Users, will be able to view the Contact Report by running the Recent Activity Report. Note that the Users on the Distribution List must proactively run the Recent Activity Report to view the Contact Reports that have been distributed to them. "

So unfortunately, it does not email the contact report. However, remember that both the Weekly Wizard Snapshot and the Weekly Contact Reports emails do contain contact activity.

Solicitation and Cultivation Managers

Matt and Dave have added Solicitation and Cultivation Manager columns to the "Basic Entity Info", "Basic Entity Info - Alt. Version" and "Proposal List with Giving" reports.

New Member

Pat Cornacchione has joined the Wizard Council as the rep for Donor Relations. Welcome!

Fundraiser Summary

Tawanna has created the "Fundraiser Summary" report under Reports->Reports. This report groups prospects by solicitation stage and shows proposal amounts, contact activity and solicitation info. It's very useful for gauging the status of your prospect portfolio.

AF Assignments

Dave has added the GGA AF rating to the AF Assignments report. It is available under Reports->Reports.

Updating the Website

We will be re-organizing and updating the Advancement Services website over the next few weeks. In the meantime, please post any suggestions, ideas, etc you may have for how we can make it easier to use.

Wizard Refresher PowerPoint

The Wizard Refresher seminar PowerPoint is available here.

New Utility for Appeals

Advancement Services has created a new utility that allows for automatic appending of appeals to records in Wizard. In the past this service had to be requested from devreq. This will simplify and quicken the process of tracking the performance of your mailings.

The utility is available under Reports->Reports and is called “Appeals Loader”. When run, Appeals Loader adds your appeal code to every person in a clipboard list you designate.

Complete process for tracking mailings:

1. Fill out the Appeal Code Request form available on the Advancement Services website under "Requests".
2. An appeal code will be emailed to you.
3. Generate your mailing list either through Wizard or devreq.
4. If you are doing a direct mail piece, the code must appear on the solicitation mail piece. Specifically, the code must appear on the piece that the donor returns with his/her donation.
5. Send your solicitation piece out! (If you are doing an email solicitation, Advancement Services will take care of the mailing)
6. NEW: Load your ids into a clipboard list.
7. NEW: Run “Appeals Loader” from Reports->Reports.
8. When the donation is received, the gifts processing staff applies the donation to the appeal, much like we do when we apply a payment to a pledge.

For further information on Appeals check out the Appeals Policy on the Advancement Services website.

Nothing to Lose

Matt has loaded GGA's "Nothing to Lose" entities. These are people who have high PRIZM scores and other wealth indicators but have given less then $250. Thus, potential diamonds in the rough.

GGA identified 1,070 of these people. They are loaded into "Evaluations" and are marked "Nothing to Lose".

You can look them up using the Evaluations tab of Advanced Lookup.

Followup to today's Wizard Council meeting

It was good seeing everyone today.

Here is more info on the appeals process and the new appeal loader utility: https://www.cwru.edu/development/univ_dev/resources/docs/appeals.pdf
You can make requests for appeals here (under the "Service Requests" link on our website): https://www.cwru.edu/development/univ_dev/requests/requests.htm

Also, I looked into the question about when a Solicitation Manager reverts back to a Cultivation/Stewardship manager. It happens immediately (or close to immediately) after the proposal closes.

I will be following up later on the blog about distributing contact reports and student use of Wizard.

New member and two reminders

Rosemarie Ousley has joined the Wizard Council and will be replacing Laura Bishop as the Nursing representative. Please join me in welcoming Rosemarie and thanking Laura for her time on the council.

Two reminders:
1) There is a Wizard refresher course on Monday, March 6th at 1:30PM in the Toepfer Room in Adelbert. No RSVP is required. Please pass the word along to any of your colleagues who may need a little Wizard refreshing.

2) The next Wizard Council meeting is the next day, Tuesday March 7th, again at 1:30PM in the Toepfer Room in Adelbert. Dave will be leading the meeting, and I know he has a nifty new Wizard feature to present.

Hope to see you next week!
